Please find below an outline of what you can expect from us with regards to timely communication and what we would ask of you.
Please note that our staff access emails between 8am and 4pm Monday to Friday in term time only, and that Reception is staffed from 8am – 4.30pm Monday – Friday.
For general enquiries, by email, please contact firstname.lastname@example.org where Mrs Anne Gray will process your enquiry within two working days during term time.
We aim to respond to emails directly to the pastoral team within 24 hours Monday – Friday, between 8am and 4pm during term time, and no later than 48 hours.
We would kindly request that the majority of emails are directed to the pastoral team in the first instance, as subject teachers and subject leaders teach for the majority of the week and are unable to reply to your concern as quickly as our non-teaching Pupil Support Officers. The pastoral team will liaise with subject staff to ensure your query is dealt with in a timely manner, no later than 48 and 72 hours from the point of the contact, 8am – 4pm Monday to Friday in term time. Emails sent to subject staff will be responded to within 48 – 72 hours from the point of the contact, 8am – 4pm Monday to Friday in term time.
For telephone enquiries, please call 0114 2863861. You will be invited to select from the telephone menu should you wish to leave a message about student absence, or be transferred directly to the relevant Year Group pastoral team. You may also prefer to speak directly to the Reception team.
Phone lines are staffed from 8am to 4.30pm on Reception and between 8am and 4pm by the pastoral team. Voicemails can be left outside of these times and these will be picked up and handled the following day between 8 am and 4pm.
We aim to respond to phone calls and voicemails directly to the pastoral team within 24 hours Monday – Friday, between 8am and 4pm during term time, and no later than 48 hours.
Should you wish to meet with a specific member of staff – such as a Senior Leader, a Head of Year, a Subject Leader – please call Reception to request a call back to make an appointment. We will endeavour to call you to make an appointment within 48 hours of your request Monday – Friday in term time. Please refrain from turning up without an appointment at Reception, to avoid a wasted trip as staff are rarely immediately available. Where staff request a meeting with yourselves, we will always do our best to choose a time that is convenient to you, within the limits of directed time for staff.
Please let us know that your child is absent from school, on the first day of absence, before 8.40am, and all subsequent days unless a note from a medical practitioner has been sent to school or a leave of absence granted. It is easiest to ring school on 0114 2863861, select the ‘student absence’ option, and leave a message.
Medical appointments and leave of absence requests
Should you need to let school know that students have a medical appointment, please complete the medical appointment form available in school or on our website, or simply send your child with a note from home or copy of the appointment from the medical practitioner. Where students in Year 7 to 11 need to leave during the school day for an appointment, they must be picked up by a parent or carer 18 or over from our Reception.
Should you wish to make a request for leave of absence, please complete our leave of absence request form, available from school or on our website. It is at the Headteacher’s discretion whether or not to grant leave of absence, which is usually only given in exceptional circumstances.

May we remind you that students are not allowed to access their phones from when they enter the building at the start of the day to when they leave. If students are seen with their phones out, they will be confiscated, and, on the second confiscation, the phone will be kept in school until such time as a parent or carer can collect it. Should your child feel ill in school, we ask them to report to the medical room, and, if needed, we will of course contact parents and carers on the child’s behalf. Students should not contact parents and carers directly, as this means that we may have a child feeling unwell in school unbeknownst to us.
This year, we have discontinued our parental drop in sessions. This is because we have improved our means of communication with parents and carers and would welcome feedback at any point during term time in the ways described above, rather than parents and carers feeling they have to wait until designated times to have a point heard and responded to. We will also be inviting all parents and carers to complete a survey on each of the Parents’ Evenings, to allow us to consider a wider range of parental voice.
